Hotel Keflavik, Diamond Suites and Guesthouse Keflavik (Here after Hotel Keflavik) provides this privacy notice to inform customers what personal information Hotel Keflavik collects, how Hotel Keflavik uses it, for what purposes and to explain what the Hotels disclosure policies are. Personal information is received from users of this website, located at www.kef.is, through e-mail/telephone, or collected upon arrival when checking in at the hotel.

However, if you refrain from doing so this may impact the services, we are able to offer you. We make sure only to ask you information that we deem necessary in order to book your hotel room with us. The information we require is listed below and is required to carry out the respective order as defined by Article 6, Paragraph 1, letter b Alt. 1 of the General Data Protection Regulation.
Bookings
When booking a hotel room through our website we require the following information from you to process your request:
- Name
- Date of birth
- Name and date of birth from others who are travelling with you and are also staying in your room
- E-mail address
- Telephone number
- Nationality
- Payment information, i.e. card holders name, credit/debit card number, expiry date, security code.
Upon arrival
Upon arrival we will ask you to fill out a form with the following information:
- Name
- Address
- E-mail address
- Phone number
- Payment information
- Nationality
The front desk collects and stores this information throughout the duration of your stay on so called sign in sheets. The purpose for these forms is to be able to contact a former guest at the hotel if the need arises, for example in the unlikely event that the guest left without paying for the stay.
Customer service
We offer great customer service; our hotel staff is here for you whenever you need them. Whenever you share your details with our employees, for example if you have questions about your booking or you would like our staff to make a booking for you or answering other questions you allow us to handle your personal information in order to be able to carry our your request.
Personal information about you we receive from other sources
We not only receive the data you provide to us – we may possibly also receive information about you from other sources. This includes business partners such as booking sites for hotels, and all information we receive from them may be compiled with the information you provide to us. Whenever you use a booking service, you provide your booking details to our business partners who, in turn, provide this information to us. We also integrate the services of other providers to process payment between the booking party and the accommodation. Providers share payment information to allow us to process your booking and ensure that the payment process is as smooth as possible for you.
How we use personal information
Personal information that we collect about our customers is to be able to accommodate them at our hotel. We collect only necessary personal information, only that we need to be able to fulfill our end of the contract and service you. Your personal information will not be sent to any other third party, unless you request it or we are required to do so by law or by Court ruling.
How long do we keep your personal information?
We do not keep your personal information longer than is permitted by law and is necessary for the work. How long certain data is stored depends on the type of personal data and the purposes for which they are processed. When the terms have expired, your personal data will be deleted and destroyed by us in a secure manner.
Information sent to third parties
When you order a trip or other services through our website with other companies, we send them the personal information you are asked to fill out on our website, i.e. name, phone number etc. That information is sent to the relevant third party you wish to book your trip with, based on your consent as defined by Article 6, Paragraph 1, letter a Alt. 1 of the General Data Protection Regulation.

When you apply for a job at Hotel Keflavik
When you apply for a job at Hotel Keflavik that we have advertised. You will send us your CV. Upon receiving your CV, we store it safely ensuring no unauthorized access to your personal information.
Security cameras
The Hotel is guarded with security cameras that guard the building from the outside, the entrance and exit doors, hallways, the information desk and other public guest areas to prevent unauthorized access.
Information safety
Hotel Keflavik safeguards your personal information with appropriate technical and organizational measures to ensure the security of your personal information. Hotel Keflavik strives to prevent human error, theft, fraud or other misuse of information.
Hotel Keflavik makes sure that only those employees who need access are granted access to personal information to achieve the purpose of the processing of the information. The hotel staff is informed of their duty to maintain confidentiality and ensure the security of personal information at the point of employment.

Our website uses cookie technology to collect additional website usage data and to improve the site and our service. Premis services www.kef.is and Kosmos and Kaos services www.diamondsuites.is. We do not use cookies to collect personal information. Other Policies
Cancellation Policy
In the event you have to cancel your reservations at Hotel Keflavik, Diamond Suites or Guesthouse Keflavik.
The cancellation policy is as follows:
Cancellation policy is 7 days for individuals, 30 days for groups with up to 20 rooms, 60 days for groups with 20+ rooms and 14 days for Diamond Suites. Cancellation must be done in writing, even if a confirmation has been given over the phone. If cancellation is not made before the end of the cancellation period, the entire reservation will be charged.
Pets
Small pet dogs are welcome but we can only accommodate them in specific rooms, subject to availability upon arrival. Assistance dogs are allowed in the entire hotel.
Smoking
All our rooms at Hotel Keflavik, Diamond Suites and Guesthouse Keflavik are non-smoking and smoking in the rooms is subjected to a special cleaning fee. Smoking is only allowed outside. There is a significant room recovery fee, from 200 EUR or more depending on damage, for guests who do not comply in order to cover the extensive cost of restoring guest rooms to a smoke-free condition.
Children
Infants and toddlers up to the age of 2 years stay free of charge in cot in every room type. Children at the age of 3-12 years can stay free in existing beds .
Tax
Tax and service charges are included in the rates but lodging tax is not.
